Terms and Conditions of Hire
Booking periods
The Guild Church, Court House, Panel Room, Archive Room and Crypt can be booked from 08.00 to 24.00 Monday to Saturday. They are not usually available on Sundays. Bookings must be confirmed in writing on the Booking Form which includes the client's agreement to the Terms & Conditions of Hire. Any changes to the above times must be requested in writing before a booking can be confirmed. Extensions to booked times will incur additional charges. No variation in the times will be agreed once a booking has been confirmed.
Cancellation
If a confirmed booking is cancelled by a client for whatever reason within 28 to 15 days of the function, a charge of 50% of the hire fee is payable. If a cancellation is within 14 days of the function, the full hire fee is payable. If a function is postponed, the postponement will be treated as a cancellation unless the new date is within 28 days of the original date. Only one postponement will be accepted.
Charges
Clients will be invoiced immediately after the event or notification of cancellation. Payment is due within 21 days of the date of invoice. A deposit of 50% of the total hire charge may be payable at the time of confirmation of booking.
Numbers attending a function
Church
The maximum number of people that can be seated in the main body of the church is 250. An additional 200 people may be accommodated by using both the galleries. Final anticipated numbers must be given two working days before the event.
Court Room and Panel Room
The maximum number of people that can be seated in the Court Room and Panel Room is 70.
Archive Room and Crypt
The maximum number of people that can be seated in the Archive Room is 20 and the maximum number of people that can be seated in the Crypt is 100
Client’s responsibility
The client shall:
Be responsible for, reinstate and make good to the satisfaction of St. Andrew Holborn, any loss of property or make full compensation.
Indemnify St. Andrew Holborn against all claims and proceedings reasonably made in respect of any personal injury, loss of property and against all costs and proceedings reasonably incurred;
Indemnify St. Andrew Holborn against any liability in respect of any loss of property suffered by an employee and against any statutory liability in respect of personal injury, if such loss or personal injury is directly caused by the client, or any person attending any function provided by the client. In this condition the expression “loss of property” includes damage to property and the expression "personal injury" includes sickness and death.
Client’s point of contact
An organiser must be appointed by the client as the point of contact with St. Andrew Holborn.
The organiser must be present throughout the event in order to liaise with the Duty Officer in monitoring the function and finally achieving an orderly departure of the guests. The assessment of the conduct of a function rests with St. Andrew Holborn.
Catering
Where a caterer is to be employed in connection with a function, only a caterer from the approved list held by St. Andrew Holborn may be used.
Consumption of alcohol
There are no restrictions on the consumption of alcohol during lunchtime functions.
During evening functions alcoholic drink may be served up to 23.30 with a 15
minute drinking up period thereafter. Extensions cannot be permitted. Cash bar facilities cannot be arranged.
Smoking
Smoking Is not permitted anywhere on site.
Equipment
No equipment is to be delivered without prior agreement. St. Andrew Holborn reserves the right to refuse equipment if it is considered dangerous or harmful to persons to be present, the building or its contents. Equipment must be freestanding
i.e. must not touch the fabric or contents of the building, and no fire exit is to be obstructed. St. Andrew Holborn cannot accept any responsibility for equipment or other goods left at the Guild Church before or after a function.
Flowers
Flowers may be brought into the Guild Church, Court House, Panel Room, Archive Room and Crypt only with prior approval of the staff in order to protect the fabric of the Guild Church. Clients must adhere to the instructions from staff in the placing of floral decorations.
Entertainment
Details of any musical or other entertainment at a function must be approved by the Vicar at the time of booking.
Deliveries and removals
Deliveries and removals of goods to or from the Guild Church, Court House, Panel Room, Archive Room and Crypt must not be made before 08.00 and not after 23.00. There is no access to the Courtyard, except by prior arrangement.
Parking
There is no parking available within the site, except by prior arrangement. This includes: Cars, vans, motorbikes and bicyles.
Statutory requirements
The client must comply with any fire, health and safety or other statutory requirements which apply to the Guild Church, Court House, Panel Room, Archive Room and Crypt.
